We are the data controller for the personal data described in this policy. This means we decide how and why your personal data is used.
What personal data we collect
We only collect what we need to respond to you and to run our business. Depending on how you use this site, that may include:
- Contact details you give us, such as your name, email address and phone number, when you fill in our demo form or book a call.
- Information about your agency, such as your business name and what you tell us about your needs.
- Voice demo interactions. If you choose to speak with our AI voice demo, the conversation is processed to generate a response and may be recorded and stored to improve the service.
- Technical and usage data, such as your IP address, browser type, device, the pages you visit and how you arrived at our site.
How we use it, and why we are allowed to
Under UK GDPR we must have a lawful basis for using your data. Ours are:
- To respond to your enquiry and provide the demo, because it is necessary to take steps at your request before entering a contract, or because it is in our legitimate interests to respond to people who contact us.
- To follow up about our services, on the basis of our legitimate interests in marketing to businesses, or with your consent where required. You can opt out at any time.
- To provide our services to clients, where necessary to perform our contract with you.
- Analytics and advertising, on the basis of your consent, which you give through our cookie banner and can withdraw at any time.
- To meet our legal obligations, such as keeping accounting records.
Cookies and tracking
We use cookies and similar technologies. Some are strictly necessary for the site to work. Others, including the Meta (Facebook) Pixel, are used to measure the performance of our advertising and to show relevant ads.
Non-essential cookies are only set if you agree to them. You will be asked when you first visit, and you can change your mind at any time by clearing your cookies for this site and reloading the page.
If you accept, we share limited event data (such as the fact you submitted a form or booked a call, together with a securely hashed version of your email or phone number) with Meta so we can measure our advertising. We never share your details with Meta in a readable form.
Who we share your data with
We do not sell your personal data. We share it only with the service providers we use to run our business, and only so far as they need it:
- GoHighLevel, our customer relationship and booking system.
- Meta Platforms, for advertising measurement, where you have consented.
- ElevenLabs, which powers our AI voice demo.
- Netlify, which hosts this website.
- n8n, which we use to connect our systems together.
- Professional advisers, and authorities where we are required by law.
Some of these providers are based outside the UK. Where personal data is transferred internationally, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or adequacy regulations.
How long we keep it
We keep enquiry and lead data for 24 months from our last meaningful contact with you, after which it is deleted or anonymised. Client and accounting records are kept for longer where the law requires it.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct anything that is wrong.
- Ask us to delete your data, in certain circumstances.
- Object to us using your data for direct marketing, at any time.
- Ask us to restrict how we use your data, or to port it elsewhere.
- Withdraw your consent, where we rely on it.
To exercise any of these, email privacy@ace-ai.co.uk. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk.
